Role Overview

As an Executive Assistant in the SAP Department, you will provide comprehensive administrative support to senior executives, ensuring the efficient operation of the department. Your role will involve managing schedules, coordinating meetings, handling communications, and assisting in the preparation of reports and presentations.

Key Responsibilities
  • Calendar and Schedule Management: Coordinate and manage executives’ calendars, schedule appointments, meetings, and conference calls, ensuring optimal use of time and prioritizing urgent matters.
  • Communication Liaison: Serve as the primary point of contact for internal and external stakeholders, screening and managing phone calls, emails, and other correspondence on behalf of the executives.
  • Meeting Coordination: Organize and facilitate meetings, including preparing agendas, distributing materials, and recording minutes, ensuring timely follow-up on action items.
  • Document Preparation: Draft, proofread, and edit correspondence, reports, presentations, and other documents as requested by the executives, maintaining accuracy and adherence to company standards.
  • Travel Arrangements: Coordinate travel logistics for the executives, including booking flights, accommodations, transportation, and preparing travel itineraries, ensuring adherence to travel policies and budgets.
  • Expense Management: Process expense reports and invoices, reconciling expenses and maintaining accurate records, and assisting with budget tracking and reporting as needed.
  • Confidentiality and Compliance: Handle sensitive and confidential information with discretion and professionalism, ensuring compliance with regulatory requirements and company policies.
  • Special Projects: Assist the executives in coordinating and executing special projects and initiatives, conducting research, compiling data, and preparing reports and presentations as required.
Qualifications & Skills
  • Educational Background: Bachelor’s degree in Business Administration, Information Technology, or a related field.
  • Experience: 6–10 years in an executive assistant or similar role, preferably within the IT or SAP domain.
  • Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), SAP knowledge is a plus.
  • Soft Skills: Exceptional communication, organizational, and multitasking abilities; strong attention to detail.
  • Language Proficiency: Proficiency in English; knowledge of Japanese is advantageous.
  • Certifications: Administrative certifications or SAP-related training is a plus.
