Role Overview
As the Assistant Manager – Customer Service, you will be responsible for the complete Order-to-Cash (O2C) cycle, including order processing, customer interaction, shipment coordination, and documentation. The role involves collaboration with cross-functional teams including logistics, sales, accounts, and global offices to ensure seamless customer experience and compliance with trade and regulatory guidelines.
Key Responsibilities
Order-to-Cash Operations
- Manage customer orders in SAP: creation of sales orders, invoices, purchase orders, goods receipts, etc.
- Oversee sample processing and customer sample deliveries.
- Coordinate with overseas teams for shipment schedules and import documentation.
Documentation & Compliance
- Ensure full documentation for High Seas sales, including contracts and invoicing.
- Prepare declarations for custom clearance: IUPAC, End-Use Certificates, FSSAI, etc.
- Scrutinize shipping documents including Bills of Lading, Packing Lists, and Certificates of Origin.
Customer Interaction
- Handle customer queries and complaints via CRM and in-person visits when needed.
- Follow up on receivables, coordinate with the accounts team for account reconciliation and GST alignment.
- Assist in credit management, working closely with the India Accounts and Global Credit teams.
Reporting & MIS
- Collect and analyze sales and inventory data; generate MIS reports for Business Line (BL) managers.
- Monitor payment collections and generate outstanding (O/S) reports from SAP.
Support & Coordination
- Provide logistical expense coordination and support during exhibitions/events.
- Act as a backup for team members as required.
- Maintain updated exchange rate data (RBI, SAP, Customs) in the system.
Qualifications & Requirements
- Graduate degree (mandatory); Certification in Supply Chain Management preferred.
- Minimum 3 years of relevant experience in customer service.
- Hands-on SAP experience is essential.
- Strong knowledge of import/export documentation and regulatory compliance.
- Good interpersonal, communication, and coordination skills.
